AI voice + intake agent

An intake workflow with a clear human handoff.

A scoped intake assistant can collect enquiry details, follow approved rules and route the next step to your team. Phone, booking and CRM connections depend on supported providers. Pricing or booking actions need explicit limits and tested human handoff.

The problem

Calls arrive at nine at night and nobody is awake to take them.

Businesses losing enquiries outside working hours, or losing them at lunchtime because everyone is on site.

Not for a business where every call needs a licensed professional on the line.

How it works

What actually happens, in order.

No phase starts before the one above it is finished and shown to you. Dates follow compatibility, access and capacity review and are written into the engagement.

SCOPE
Boundaries

What it may and may not say

Before any of it is built we write down what it is allowed to quote, what it must hand to a human, and what it must never claim. Those boundaries guide implementation, evaluation and the operating plan.

  • Approved pricing rules, validation and human review for exceptions
  • The list of things it must escalate rather than answer
  • What it says when it does not know
BUILD
Build

Voice, routing, write-back

Connect the approved channel and destination, validate the required fields and retain errors for review. Identify repeat contacts only from authorised, reliable data.

  • Implement only the supported channels included in the scope
  • Match permitted contact data without guessing a caller’s identity
  • Test the agreed CRM handoff, duplicate events and failed deliveries
VERIFY
Live

Tested before customer use

Evaluate the workflow on an agreed test set before launch. Use synthetic or appropriately consented examples, review failures and require approval before enabling any customer-facing automated action.

  • Shadow or sandbox evaluation before launch
  • Human review of the agreed evaluation set and material exceptions
  • Test reply/opt-out stopping rules and escalation
What you own

Yours, including if you leave.

Agent

The configuration

Agreed configuration, rules and boundaries documented, with ownership and third-party terms stated in the agreement.

Data

Agreed call records

Retention, consent and export depend on the chosen provider and agreed scope.

Numbers

Your line

Number ownership and provider access remain under the agreed client account.

Rules

The escalation policy

What it hands to a human, written down and changeable by you.

Said plainly

What we will not promise you.

  • Pricing needs explicit controls. Approved rules, validation and human exception review belong in the scope. AI is not a guarantee against incorrect output.
  • We will not hide that it is automated. The agreed flow identifies automation and provides a defined route to a person.
  • Launch requires evaluation and sign-off. Agree the test cases, failure handling, monitoring and human coverage before customer use.

The written scope records the boundaries, client inputs and acceptance checks before work starts.

What it costs

Stated here, so you can decide before you talk to us.

The price

$7.5k setup + $1.5k-$3k/mo

The implementation and care scope is confirmed in writing before work starts. Phone rental, registration, messaging or model usage, software subscriptions and wider integration changes are separate unless the quote includes them.

Confirm provider compatibility, account ownership, operating coverage and usage costs before committing. These prices do not include unlimited usage or guaranteed business results.

Questions

The ones people actually ask.

Will it sound like a robot?

Voice quality depends on the chosen provider and settings. Review a disclosed automated sample and test comprehension before deciding whether voice is appropriate.

What if it gets something wrong?

Define validation, uncertainty handling and escalation, then test them. Errors can still occur; the operating plan identifies who reviews failures and how the workflow is paused or corrected.

Does it replace my receptionist?

It can assist with the approved intake tasks. A person still owns judgement, exceptions and coverage; staffing needs depend on the business.

How do I know it works?

Ask for a labelled demonstration of the proposed workflow. A live voice test requires the selected provider and a configured test number; website intake demonstrations do not prove a phone integration.
